The Account Clerk performs a variety of standard duties and tasks related to basic bookkeeping, records management and collection of fees. They work under the supervision of the City Clerk, or, in the absence of the City Clerk, the Deputy City Clerk.

Responsibilities

  • Answers phone calls and greets customers
  • Responds to inquiries and assists customers with proper completion of various transactions, including the receiving of monies
  • Directs customers to the proper departments when necessary
  • Receives and documents payments for property taxes; sewer fees; and registers vehicles, boats, snowmobiles, and ATVs
  • Conducts sales of sporting licenses, dog licenses, beach permits, mooring permits, business licenses and shellfish licenses
  • Conducts the sales of any and all vital records, including birth, death and marriage certificates, and marriage licenses
  • Responsible for daily reconciliation of daily work/cash drawer, updating of permits, licenses, and fees
  • Assists with election duties including voter registration, updating voter records, absentee ballot processing, and acts as a Deputy Voter Registrar at the polls on Election Day (extended hours for voter registration, early absentee processing, and Election Day preparation may be required)

Required Qualifications

  • High school diploma or GED
  • 1 - 3 years of related experience, or
  • Any equivalent combination of related education and experience
  • Working knowledge of:

Personal computers and basic computer functions

Modern office records maintenance practices and procedures

DAVE, the Bureau of Motor Vehicles, and the Department of Inland Fisheries and

Wildlife statutes

  • Must stay current on all changes in applicable Maine State Law
  • Skill and/or ability to learn the operations of office tools, programs and equipment
  • Able to find answers or know where to refer someone when answers cannot be found
  • Should greet and interact with the public in a respectful, courteous, and professional manner
  • Establish and maintain effective working relationships with co-workers, supervisors, and the public
  • Manage challenging stressful situations in a flexible and professional manner, and keep up with the fast pace of a busy office
  • Ability to effectively communicate both verbally and in writing
  • Familiarity with Microsoft Word, Excel and other applicable databases used in the City Clerk’s Office)
  • Able to use an adding machine, telephone system, photocopy machines, faxes, scanners and typewriter

Pay: $46,000.00 - $58,000.00 per year
