Androscoggin County is seeking a full time Administrative Assistant for the Emergency Management Agency. As a member of a face-paced team- oriented environment this qualified candidate will assist by providing administrative support to the Director and Agency Staff. A High School Graduate with two years of previous experience is preferred. Must have a valid State of Maine class C driver’s license and a clear driving record.

 

The purpose of the Administrative Assistant position is to assist by providing administrative support to the Director and Agency Staff.

Essential Duties and Responsibilities include but are not limited to:

  • Updates and maintains agency contact list.
  • Updates and maintains inventory of resources and supplies for both office and field.
  • Assists the Director to process grant reimbursement and budget development.
  • Organizes and maintains files on all preparedness grants.
  • Ability to learn and proficiently use the current accounting program.
  • Generates monthly expenditure and revenue reports.
  • Tracks agency expenses and accounts
  • Enters requisitions into accounting system for coding by the agency Director.
  • Assists agency staff with programmatic activities.
  • Assists staff with setup of meetings, exercises, and training sessions, some of which are outside of business hours.
  • Updates and maintains agency filing systems.
  • Updates and maintains agency website and social media.
  • Additional duties, functions and roles as assigned by the Emergency Management Agency Director.

Knowledge Ability and Skills:

  • High school graduate with proficiency in business education.
  • Two (2) years previous experience in an administrative capacity preferred.
  • Strong Organizational Skills and ability to function independently.
  • Excellent time management skills and ability to multi-task and prioritize work, strong ability to prioritize and handle details with precision and accuracy.
  • A valid State of Maine class C driver's license and clear driving record are required.
  • Proficiency with computer operations specifically Microsoft Office Suite, Microsoft word, Excel, PowerPoint, and Outlook.
  • Such alternatives to the above qualifications as the Emergency Management Agency Director may find appropriate and acceptable.

Job Type: Full-time

Salary: $19.15 - $19.72 per hour
