GENERAL INFORMATION: Department: Administration
Barg. Unit: Non-Union
Status: Full-Time, Non-Exempt (37.5 hours/week)
Schedule: Follows current City Hall employee schedule
Grade: 5 ($27.44-$40.14/hour)
SUMMARY: Works under the immediate direction of the City Administrator and Deputy City Administrator. Provides administrative assistance to City Administration personnel. Performs a range of administrative, special event-project oversight and office support functions. Serves as first point of contact for City Administration and carries out other functions as directed.
EDUCATION AND EXPERIENCE: Associates degree is preferred or up to two years related experience and/or training; or an equivalent combination of education and experience.
WORK ACTIVITIES: Perform office functions including oversight of office supplies, inventory, purchasing, and reconciliation of monthly financials for all administrative transactions. Serve as the receptionist for all Executive Suite offices and act as a primary agent for incoming calls. Schedule appointments and meetings as requested; oversee the coordination of conferences, luncheons, speaking engagements and other activities for City Administration. Perform payroll clerk duties and provide oversight of City Hall mailroom functions. Oversee and assist with a variety of special projects and events, at the direction of City Administration. Manage the organization and completion of all paperwork and billing associated with event applications to ensure thoroughness and compliance, including required council meeting agenda information with oversight from the Deputy City Administrator. Schedule use of A-Frames at three locations for non-profits. Provide administrative support to the Deputy City Administrator regarding Unions and Freedom on Information requests. Track budgetary expenses and income. Perform other duties as assigned.
