Position Overview:

The Oakdale Cemetery Steward is a contracted position responsible for the overall administration, coordination, and public interface for Oakdale Cemetery in Sanford, Maine. This role includes the sale of burial lots, burial scheduling and coordination, records management, financial collections, and communication responsibilities, including maintaining the cemetery’s website. The Steward also serves as the staff liaison to the Oakdale Cemetery Board.


Primary Responsibilities:

Sales & Customer Support

  • Act as the first point of contact for families, funeral homes, vendors and the public regarding cemetery services.
  • Meet with families to assist in the sale of burial lots and explain cemetery policies.
  • Issue burial deeds and maintain accurate records of ownership.
  • Assists in genealogy, with locating lots/graves, upon request.
  • Hands out a copy of the cemetery rules to those who purchase lots and those who set up the burials.

Burial Coordination

  • Coordinate and schedule burials with families, funeral directors, and grave diggers.
  • Ensure timely communication with all parties and maintain burial records.

Financial Duties

  • Collect payments for lot sales and services.
  • Provide receipts and maintain accurate transaction logs for reporting to the City and Cemetery Board.

Website & Communication

  • Maintain and update the Oakdale Cemetery webpage with current information on lot availability, policies, and announcements.
  • Respond to public inquiries via phone, email, and in person in a timely and professional manner.

Board Support

  • Serve as staff liaison to the Oakdale Cemetery Board.
  • Attend all board meetings, provide updates, prepare reports, and assist in implementing board decisions.

Operational Oversight

  • Monitor cemetery grounds and report maintenance needs to appropriate City departments or vendors.
  • Ensure all activities comply with applicable laws and cemetery regulations and be current with said laws and regulations.

Contract Terms:

  • This is a contract position paid a flat annual fee of $10,000, payable in quarterly installments.
  • The position is not eligible for City benefits and does not constitute employment with the City of Sanford.
  • Hours are flexible but may include occasional weekend or after-hours availability for burial coordination.

Qualifications:

  • Excellent communication and interpersonal skills, with a professional and compassionate demeanor.
  • Strong organizational skills and attention to detail.
  • Comfortable working independently and managing confidential information.
  • Experience with administrative tasks and basic website updating preferred.
  • Familiarity with cemeteries, funeral services, or public service roles a plus.
  • Ability to learn Maine Cemetery laws and regulations.
