Job Description
Position Title: Office Clerk
Reports to: Office Manager
Department: Administration
Nature of work:
Work involves clerical and office work requiring knowledge of office practices, procedures, and equipment.
The employee is responsible in assisting the operations/transactions of the town office, including but not limited to: waiting on customers, answering phones, giving out information requested on property, excise taxes, motor vehicle registrations and licenses/permits. Office Clerk I is an appointed position. Work is performed with some guidance by the Motor Vehicle Agent. Work is performed under supervision of Town Manager/Office Manager.
Essential Duties and Responsibilities:
- Greets visitors, answering questions and giving information; at customer window and/or by telephone;
- Serves as municipal registration agent for the State of Maine, and handles new registrations; and re-registrations; facilitates transfers of plates or issues new plates and stickers.
- Participates in the issuance of various licenses/permits and certificates, including; fishing/hunting, dog, atv’s, boats and snowmobiles;
- Processes payments for property taxes, water and sewer;
- Maintains a daily cash drawer and balances money collected on a daily basis;
- Sorts and files material alphabetically, numerically or by other predetermined means;
- Operates standard office machines and appliances necessary to complete assignments and makes routine calculations by hand and machine in performing general figures of clerical work;
- Performs related work as may be required by the Town Manager/Office Manager.
Requirements of Work:
- Considerable knowledge of office procedures and practices.
- Ability to make minor decisions in accordance with laws, ordinances and regulations.
- Ability to make relatively complex mathematical computations rapidly and accurately.
- Ability to multi-task, deal with the public tactfully and courteously and to work harmoniously with other employees.
Training and Experience Required:
Clerical experience; high school/GED diploma, including or any equivalent combination of experience and training.
